Once a Trip is created, related transactions can be linked to it. This helps track travel spending and simplifies reporting.
Automatic assignment
- Transactions are automatically assigned to a Trip if their authorisation date falls between the Trip’s start and end dates.
- The cardholder does not need to take action for these transactions to be assigned to the Trip.
Manual assignment
If a transaction is not automatically assigned, you can assign it manually:
- Go to any screen where you can see transactions..
- Select the transaction you want to update.
- From the transaction details, use the Trip dropdown to assign it to the correct Trip.
Changing or removing a Trip assignment
- From the transaction details, you can change the Trip assignment if the transaction belongs to another Trip.
- You can also remove the Trip assignment entirely if the expense is unrelated.
Rules for assignment
- A transaction can only be linked to a Trip if its authorisation date is between the Trip’s creation date and end date.
- Transactions outside this range cannot be assigned to the Trip.
Reporting on Trips
- In Reports, Users, and Expense Review, you can filter by Trip.
- This makes it easy to review all transactions linked to one or more specific Trips.
