Pairing a fuel card with a vehicle helps you get clearer reporting, track fuel costs by vehicle, and support audit and VAT compliance. It's particularly valuable for businesses that manage shared vehicles or a company fleet.
Before you can pair a card, make sure the vehicle has already been added to your account. Learn how to add a vehicle.
How to pair a card with a vehicle
- From the navigation menu, select Cards.
- Select the fuel card you want to pair.
- Go to the Rules tab.
- Find the rule called Pair with a vehicle.
- Choose a vehicle from the list.
- Select Save to confirm.
Pair a card during card creation
You can also pair a card with a vehicle while creating a new fuel card. When you choose the fuel card format, you’ll see an option to select a vehicle from your existing list. Adding the pairing at this stage saves time later and ensures all future transactions made with the card are linked to the correct vehicle from day one.
What happens after pairing?
Once a card is paired with a vehicle:
- Each transaction made with that card will automatically show the paired vehicle in the transaction details.
- From the transaction view, you can add extra details, such as:
- Fuel quantity
- Unit price
- Mileage (for that specific transaction)
This helps your finance team build a more complete and accurate picture of fuel usage, costs, and operational performance.
