Automatically enrich transactions with Autotags

Autotags let you automatically tag transactions with list items, expense categories, or VAT rates based on predefined conditions. This helps you stay consistent, reduces manual work for employees, and improves the quality of your reporting.

For example, you can create a rule that tags all transport-related transactions with a “Travel” category, or assign departmental tags based on who made the purchase.

How to create an Autotag rule

Who: Super admins, Admin, Accountants
  1. Go to Configure > Transaction settings.
  2. Select the Autotags tab.

  3. Select Create rule.

  4. Enter a name for your rule.
  5. Set your conditions. You can create rules based on:
    • User
    • User’s card
    • Company card
    • Merchant name
    • Merchant category
  6. You can combine multiple conditions using:
    • All – the rule applies only when every condition is met
    • Any – the rule applies when at least one condition is met

  7. Select Next.

  8. Select Add autotags.

  9. Choose the relevant tab and select the item(s) that you want to automatically apply for this rule. For example, you may want to automatically apply an Expense category and a VAT rate, or a specific list item. You can combine multiple items if you wish. Select Confirm when done.

  10. Select Next.

  11. Review your settings and select Confirm.
Note: New rules are enabled by default. You can disable or re-enable them at any time using the toggle.

How to edit Autotag rules

Who: Super admins, Admin, Accountants
  1. Go to Configure > Transaction settings.
  2. Select the Autotags tab.
  3. Select the Edit icon next to the rule you want to edit

  4. Make your changes and select Confirm.

How to disable or delete an Autotag rule

Who: Super admins, Admin, Accountants

Autotag rules help you automatically tag transactions based on set conditions. You can disable a rule at any time if you no longer want it to run, or delete it completely if it’s no longer needed.

Disable an Autotag rule

Disabling a rule pauses it without removing it. You can enable it again later if needed.

To disable a rule:

  1. Go to Configure > Transaction settings.
  2. Select the Autotags tab.
  3. Use the toggle next to the rule you want to disable.

The rule will be turned off, but kept in your list. You can re-enable it at any time.

Tip: If you’ve disabled several rules and want to tidy your view, you can tick the checkbox Show enabled rules only. This will hide all disabled rules from view.

Delete an Autotag rule

Deleting a rule permanently removes it from your account. This action can’t be undone.

To delete a rule:

  1. Go to Configure > Transaction settings.
  2. Select the Autotags tab.
  3. Select the Delete icon next to the rule you want to remove.

  4. Confirm your choice when prompted.
Note: Deleting a rule will stop it from tagging future transactions. However, it won’t remove any tags that were already applied by the rule.
