When you add an employee to Soldo, they are automatically assigned the Employee role. However, not all employees need the same level of access. That’s where user role profiles come in.
User role profiles help you tailor access based on an employee’s specific needs, ensuring they can complete their tasks without unnecessary permissions. Whether they need full access to company spending, the ability to submit expenses, or just fuel card management, there’s a profile that fits.
Employee user role profiles
You can assign a role profile when you create a new user. Just select the option from the employee type screen. Alternatively, you can create the user with the default Employee - Full access and change later from the Users section.
Once assigned the Employee role, users can be given one of four role profiles:

Full access
This gives selected employees complete access to all Soldo features available on our mobile and web apps. -
Limited access
Provides limited access to our mobile/web apps for employees not assigned to a physical or virtual card. This is particularly helpful for employees that need to submit out-of-pocket expenses for reimbursements or need to request temporary virtual cards for ad-hoc spending. -
Driver
You can set up an employee with a Driver profile and assign a Fuel Card to them. This profile type gives visibility to travel-related features such as fuel transactions within our mobile and web apps. -
Inactive
This allows you to add employees within the Soldo platform without giving them access to cards or the mobile/web apps. This is particularly helpful from an administrative perspective, as it allows you to see all your employees in one place. You can change this and simply grant them a different level of access as and when they need it. Find out how to set a user as inactive here.
FAQ's
Can the profiles be used for Super admin, Admins an Managers?
No, the user role profiles are for employee roles only. They should not be assigned to Super admin, Admin or Manager roles.
Who can make changes to the user profile of each employee?
The Super admin can assign or make changes to the role profile of the employee.
Can I change the role profile of a user after it has been created?
Yes, you can change the profile configuration of an employee at any time by going to your ‘User’ section in the web app.
Will I be charged for ‘inactive’ users?
No, ‘inactive users’ are not considered for billing. However, if a user is active for 2 days or more, you will be billed accordingly.
