Automatic export streamlines how transactions are exported from Soldo to your accounting system. Instead of manually exporting transactions, you can automate the process based on predefined conditions, ensuring a seamless end-to-end process.
Note: Automatic export requires you to have an accounting integration set up on your account. If you haven’t set one up yet and you want to find out more, take a look at our Integrations section to get started. If you already have an accounting integration set up with Soldo and you’re ready to enable Automatic export, take a look at this guide: How to set up Automatic export for an existing integration
Why use Automatic export?
Manually reviewing and exporting transactions can be repetitive. With Automatic export, once a transaction meets the necessary conditions, it's automatically sent to your accounting integration, giving you more time to focus on strategic tasks.
How does it work?
You can enable Automatic export directly from the integration settings. Once set up, transactions that match the selected conditions will be automatically exported daily at 01:00 AM UTC.
Which integrations support Automatic export?
This feature is available for all direct accounting integrations, including:
- Xero
- QuickBooks
- NetSuite
- Sage Business Cloud
- Exact Online
- Microsoft Dynamics 365
What conditions can be set?
You can define specific criteria for Automatic export, such as:
- Mandatory details (via the Reminders feature)
Ensure all required accounting information such as attachments, expense category, lists, etc. are present for each transaction.
- Expense review status
You can choose to only export transactions that meet a particular Expense review status. You can choose from:
- Transaction can have any review status
- Transaction must have the approved status
- Transaction must be approved and included in an expense report
- Expense type
Decide the type of expenses that you want to automatically export. You can choose any combination of:
- Travel & Entertainment
- Company
- Personal
Note: Transactions must meet all of the conditions that you set to be included in the Automatic export. This includes any conditions that are required by your chosen integration. You’ll be able to see what conditions are required by your integration during setup or by navigating to the integration settings and selecting the Transaction rules tab.

FAQs
Can I use Automatic export if my accounting integration is already set up?
Yes! Although Automatic export can be configured during the initial setup of an accounting integration, if you've already configured your integration, it’s simple to set up Automatic export. Take a look at this guide for more details on getting started.
Which transactions are exported?
- Only transactions that affect the overall balance of your Soldo account are eligible. Internal transfers and out-of-pocket, zero-amount and non-settled transactions will not be exported.
- Only transactions that meet both your Automatic export conditions and the requirements of your selected integration will be exported.
How often does Automatic export run?
Automatic export runs once a day at 01:00 AM UTC. Any transactions that meet your predefined conditions will be exported to your accounting system at this time.
Can I change the Export schedule?
Currently, the export schedule cannot be changed. The daily export at 01:00 AM UTC is fixed for all customers using the Automatic export feature.
What do I do if a transaction does not get automatically exported?
There are a few things that you can check:
Conditions
Automatic export will only export transactions if they meet the conditions set in Transaction Rules. For example, if you have enabled “Mandatory details must be completed,” Automatic export will only export transactions when they meet the mandatory details criteria. For more information on Reminders and Transaction rules, refer to this article: What are ‘Reminders’ and how do they work?
Expense review status
Check that the transactions meet the Expense review status you have defined. You can select from 3 options for Expense review status when enabling Automatic export:
- Transaction can have any review status
- Transaction must have the approved status
- Transaction must be approved and included in an expense report
If I enable Automatic export, can I still manually export?
Yes! If you want to manually export some transactions you can still do this. Automatic export has been designed to remove the burden of repetitive manual exports but the manual functionality still remains even when Automatic export is enabled.
