If you’re new to Soldo, this section of the support centre is your starting point. It’s designed to help you configure your account, add your team, and take control of company spending from day one.

You don’t need to be a finance expert to get started. We’ll walk you through each step to help you feel confident and in control.

What can I set up in this section?

This section of the support centre includes step-by-step guides to help you build a strong foundation in Soldo. These guides are designed to help you:

  • Getting started – Deposit funds into Soldo from your business bank account. This is the first step before assigning cards or making transfers.

  • Create users and assign cards – Invite your team and assign the right card type based on their role or responsibilities.

  • Control card spend – Set up rules and spending limits to reflect your internal policies and reduce manual oversight.

  • Manage multiple currencies – (Plus plan and Unlimited plan) Activate new currencies and fund them via your Main wallet or deposit form your business bank account. Ideal for businesses that operate internationally.

  • Organise money with Company wallets – (Plus plan and Unlimited plan) Set-aside funds from your Main wallet to allocate budgets to teams, departments or projects using ring-fenced wallets.

  • Set notifications – Get real-time alerts about low balances and declined transactions.

  • Manage your account – Update user details, change passwords or switch languages in your profile settings.

  • Using the mobile app – Watch video guides for employees and managers. Learn how to manage cards, upload receipts and review expenses on the go.

Most steps apply to all plans. If you're on a Plus plan or Unlimited plan, you’ll see additional options for configuring currencies and setting up Company wallets.

What’s included in all plans

  • Use card rules to control spend

    Apply spending limits by day, week, month, or per transaction. Block transactions by merchant category or control which regions a card can be used in.

  • Assign company cards or single-user cards

    Choose the right card type for each user or team. You can also issue temporary virtual cards for pre-approved spend.

  • Make bank transfers to suppliers

    Add your business bank account as a payee and send payments directly from your Soldo balance.

  • Enrich transaction data

    Use Lists, expense categories and VAT rates to improve visibility and reduce time spent on month-end reporting.

  • Connect your accounting software

    Integrate with Xero, QuickBooks, Sage, Exact Online, or DATEV to automate reconciliation and reduce manual admin.

I’m on the Plus plan. What else can I do?

  • Create Company wallets

    Ring-fence funds for specific teams, departments, projects, or locations. This gives you more control and helps budget owners track their own spending.

  • Enable multiple currencies

    Activate and manage wallets in other currencies. Ideal for global teams.

  • Let users request funds

    Enable employees to request one-off spend or top-ups to their cards. You’ll stay in control while reducing admin.

  • Enable receipt matching with OCR

    Soldo can read and match receipts automatically, reducing manual effort and improving compliance.

  • Allow out-of-pocket expenses and mileage claims

    Employees can log claims for personal spend or mileage. You can reimburse them directly via bank transfer.

  • Use reminders to set up mandatory transaction data

    Make key fields mandatory for transactions such as receipt attachments and expense categories to ensure consistent, complete records. Remind employees to complete any missing fields.

  • Customise export templates

    Format your exported data to suit your accounting or reporting needs. Helpful for finance teams managing different file types.

I’m on the Unlimited plan. What else is available?

The Unlimited plan includes everything above, plus advanced features for larger teams, complex approval processes and full spend control.

  • Create and assign Groups

    Structure your organisation by team, location or business unit. This helps with budgeting and reporting, and enables you to mirror your companies organisational structure.

  • Set advanced permissions and role profiles

    Use roles like Admin, Limited Admin, Leader or Accountant. Assign specific role profiles to Employees based on how they’ll use Soldo.

  • Automate wallet top-ups

    Set up transfer rules to ensure wallets are automatically topped up when needed. This removes the need for manual intervention.

  • Define card rule presets

    Save and apply sets of card rules across multiple cards.

  • Set up expense policies and workflows

    Create custom workflows for reviewing and approving expenses. Choose who reviews what, and set different rules based on spend type or department.

  • Enable out-of-office delegation

    Allow users to delegate expense review and request tasks to other colleagues while they’re away. This avoids bottlenecks and keeps approvals moving.

  • Delegate bank transfer permissions securely (Add-on required)

    Allow selected users to make transfers while keeping controls and oversight in place.

  • Use auto-tag rules for better reporting

    Automatically tag transactions with list items. This improves reporting accuracy and speeds up reviews.

  • Train and test in Sandbox

    Use a separate test environment to trial configurations or train new users before rolling out changes live.
