Create a request workflow

Soldo lets you tailor how employees request company money. With workflows, you define who can make requests and who reviews them,.

Types of request workflows

Workflows are grouped into three tabs in the web app:

  • Funds: Top-ups to existing cards
  • Goods and Services: Requests for pre-approved spend (e.g. temporary cards, bank transfers)
  • Trips: Itemised requests for business travel

How to create a workflow

Who: Super admins and admins
  1. From the navigation menu, select Requests.
  2.  Select Manage workflows.
  3. Choose the correct tab depending on the request type (Funds, Goods and Services, or Trips).
  4. Select Create workflow.
  5. Enter a name and description and then select Next. You can also link to a spending policy (optional).
  6. Select requestors: Choose whether any user can submit requests, or limit to specific people. Once you've decided, select Next.
  7. Add review steps: Decide who will reviews requests. The default is a single step with Super admins as the final approver, but you can:
    • Add multiple steps (e.g. line managers)
    • Choose specific users or roles
    • Enable rules to automatically approve or decline requests
  8. Select Next.
  9. Review your workflow settings and click Create workflow.
Tip: You can create multiple workflows for different departments, roles, or request types to suit your company’s structure.
