Standard (system) roles in Soldo

Here is a list of all the default roles and an overview of what they can be used for:

  • Super admins have access to all features in Soldo to manage a company's company wallets, users and cards. They are usually the most trusted and high-level individuals in a company, especially as they can determine who else can be made Super admin (if needed). As such, an existing Super admin has to request another user to become a Super admin and they will go through a KYC (Know Your Customer) process, in order to protect from fraud. 
  • Admins have similar access to Super admins but cannot set permissions for users. As such, they cannot determine who else can be an Admin. They are usually trusted individuals that will manage the day-to-day running of the money flow in Soldo. 
  • Leader (Manager): A ‘Leader (Manager)' role was primarily designed so users may see the transactions for the ‘Employees’ within a defined Group and ensure they are spending in accordance with a company’s expense policy. By default, they are not able to create new users, see the Configure section, or create Reports for the company.
  • Accountant: The ‘Accountant’ role was designed for users installing and using our accounting system Integrations. Therefore, they will only be able to see the Integrations and Reports section, manage Tags, configure Lists, and add details to transactions (such as receipts and Xero Categories). By default, they are not able to create users, order cards, or manage money.
  • Employee: The ‘Employee’ role was designed for users to manage their own cards and account. Therefore, they will be able to see a restricted view of the web console to be able to add details to transactions and export reports on their own transactions only. By default, they are not able to create users, order cards, or manage money.

How can I see a full list of permissions for each role?

You can see the exact definition of what each and every role can do by logging into the web app. Here's how:

  1. Log in to the web app as an Super admin or Admin.
  2. From the left-side menu, select Configure > Permissions.

  3. Select a role from the list to view the permissions for that role.

Soldo includes several default roles that help you manage access, permissions, and the overall flow of money within your account. Each role has a clear purpose so you can give people the right level of visibility and control without overexposing sensitive areas of your account.

Below you’ll find an overview of every standard role and what each one can do.

About each standard role

  • Super admin: Super admins can access and manage every feature in Soldo. They oversee company wallets, users, cards, and permissions. Because they can also add new Super admins, this role is usually given only to highly trusted individuals. 
    All Super admins must complete an identity check during onboarding to help prevent fraud.
     
  • Admin: Admins can manage almost everything a Super admin can, except user permissions. They’re usually responsible for the day-to-day operation of spending and card management.
     
  • Leader (Manager): Leaders are responsible for overseeing spending within a specific group. They can view and review the transactions of employees in that group to ensure spending follows your company’s policy. 
    They can’t create users, access the Configure section, or create company-wide reports.
     
  • Accountant: This role is designed for users who manage accounting system integrations. Accountants can view Integrations and Reports, manage tags and lists, and add missing details to transactions such as receipts. 
    They can’t create users, order cards, or move or manage money.
     
  • Employee: Employees can manage their own cards and view their own spending activity. They can add transaction details and export their own reports. 
    They can’t create users, manage money, or order cards. 
    On Unlimited plans, two additional employee profiles are available: Driver for users who spend only with fuel cards, and Limited access for those who can only submit out-of-pocket expenses or use temporary virtual cards.

If you're on an Unlimited plan, you can see the exact definition of what each and every role can do by logging into the web app. Here's how:

  1. Log in to the web app as an Super admin or Admin.
  2. From the navigation menu, select Configure > Permissions.
  3. Select a role from the list to view the permissions for that role.
