Make a bulk one-off transfer

The ‘bulk one-off transfer’ feature allows you to transfer money into multiple wallets in one go, so you can save time and effort.

In this article, you’ll find step-by-step instructions for how to make a bulk one-off transfer in your Soldo Web App.

Note: If you’re looking for instructions on how to automate periodic or low balance-triggered transfers in bulk, read this article as the process is different.

Step 1: Download the Excel template

To set up a bulk one-off transfer, you first need to log in to the Soldo Web App and download the Excel template.

  • Simply go to the ‘Main wallets’ or ‘Company wallets’ section, click ‘Make a bulk transfer’, and then click ‘Download template (.xlsx)’.

  • Select ‘Make a bulk transfer’.

The template consists of three sheets:

  • Instructions: a glossary and step-by-step guide to completing the template.
  • Wallets: the list of all your wallets and their balance at the time of the download.
  • Transfers: where you need to insert all the transfers you want to make.

Step 2: Complete the ‘Transfers’ sheet in the downloaded template file

Take your time to carefully populate the ‘Transfers’ sheet with the correct information for each transfer you want to make. Ensure that you accurately complete all the columns.

If you need any clarification, refer to the ‘Instructions’ sheet, which contains all the essential information on how to complete the template effectively.

Remember, you can only make transfers between wallets with the same currency.

Step 3: Upload your completed Excel template

When you’re finished populating the ‘Transfers’ sheet, return to the page where you downloaded the Excel template.

Upload your completed template in the designated upload area. You can drag and drop the file into the upload area or select ‘Upload’ to locate and upload the file from your computer.

Once the template is uploaded, we’ll complete a few checks. For example:

  • Have all the columns and cells been filled in correctly?
  • Are there are no more than 1000 transfers (or 1001 rows) in the same sheet?
  • Do your wallets have the money required to complete the transfers?

If any problems are detected, don't worry: our error messages will guide you to the exact location of the problems in the template, making it easy for you to fix them.

Tip: Save time on your next bulk one-off transfer by editing and re-uploading the same Excel template. There’s no need to download a new template, unless you’ve created or deleted any wallets.

Step 4: Review and confirm your transfers

If your template passes all the checks, we'll show you a comprehensive summary of your bulk transfer. Take a moment to carefully review your transfer details. If you're happy with everything, proceed to confirm your transfers.

At that point, you’ll see a message saying that we’re processing your transfers. Stay on the page and you should see a message confirming the completion of your bulk transfer within a few seconds (the time may vary depending on how many transfers we need to process).

When this happens, it’s good news: your bulk one-off transfer has been completed.

Step 5 (if necessary): Re-upload any failed transfers

If there’s a problem with the bulk transfer, you’ll see a message informing you that we couldn’t process some of your transfers. If this happens, don’t worry: we'll promptly send you an email listing the rows we couldn’t complete.

Simply repeat steps 1 to 4 above for the transfers that have failed. Download a new Excel template and fill in the ‘Transfers’ sheet only with the rows that have failed.

Once done, upload the template, check you’re happy with everything, and then confirm the transfers.

Now all your transfers should be completed.

Note: One of the reasons a transfer might fail is because there isn’t enough money in the wallet you’ve chosen as the funding source. If this happens, simply move or deposit the correct amount of money into the wallet and upload the template again

The bulk one-off transfer feature lets you move money into multiple wallets at once. This is ideal when you need to distribute budgets across users, teams, or departments without making manual transfers one by one.

You can complete a bulk one-off transfer in 4 steps. You'll find the full instructions in this article:

  1. Download the template
  2. Complete the transfers sheet
  3. Upload the template
  4. Review and confirm

1. Download the Excel template

Who: Super admin, Admin
  1. Log in to the Web app.
  2. From the navigation menu, select Wallets > Main wallet.
  3. Select Bulk transfer funds.

  4. In the pop-up, choose Download template (.xlsx).

Note: Depending on how many wallets you have, it may take a moment to prepare the download. Stay on this screen and you'll be notified when it's ready. To download the file, select the Download option in the confirmation notification.

What you'll find in the download template

Important: The template will include a list of all wallets and their current balance at the time of download. If you've made any changes and need an updated version, simply follow the steps to download an updated file.

The template includes three sheets:

  • Instructions: A guide and glossary to help you fill out the file
  • Wallets: A list of all your wallets and current balances
  • Transfers: Where you enter the details for each one-off transfer
Tip: You can include up to 1,000 transfers in one file. All transfers must be made between wallets that use the same currency.

2. Fill in the Excel template

Important:  Don't edit any of the column names in the template or re-order any columns or sheets.

Open the Excel template you just downloaded and go to the Transfers sheet. This is where you’ll add the wallet-to-wallet transfers you want to make.

Tip: You must enter the wallet IDs for both the funding and destination wallets. These are mandatory. We recommend that you also include the wallet names (optional), which can help you double-check the transfers more easily.
  1. In the Excel file, open the Wallets sheet.
  2. Find the wallet you'd like to use as the funding source (where the funds will come from) and copy the wallet ID and wallet name.

  3. In the same file, open the Transfers sheet.
  4. Enter the wallet ID and wallet name (from step 2) into the From (Wallet name - Funding source) and From (Wallet ID - Funding source) fields.

  5. Next, return to the Wallets sheet and find the wallet you'd like to transfer funds to. Copy the wallet ID and wallet name as before.

  6. Return to the Transfers sheet and enter the wallet name and wallet ID (from step 5) into the To (Wallet name - Destination) and To (Wallet ID - Destination) fields.

  7. Stay in the Transfers sheet and complete the Transfer option column, choose either:
    • SEND – to send an exact amount e.g. you want to send £500 from the funding source to the destination wallet.
    • SET – to top up the destination wallet to a fixed balance e.g. after the transfer you want the destination wallet to have a balance of exactly £5000.
  8. Enter the currency (GBP, EUR, or USD) and the amount for the transfer.

    Note: Funding wallet and destination wallet must be the same currency.
  9. Complete a new row following steps 1 to 8 for each transfer you want to make.
  10. Save the template when you are done. 

3. Upload your completed Excel template

  1. Once the template is ready, return to the same page where you downloaded it and upload the file.

  2. Click Next to continue.

We’ll automatically check your file for errors such as:

  • Missing columns or incomplete rows
  • Over the 1,000 transfer limit
  • Not enough funds in the source wallet

If there’s an issue, you’ll see a clear error message pointing to the exact row or cell you need to fix.

Tip: You can reuse the same Excel file for future transfers. Just update the data and re-upload — there’s no need to download a new template unless your wallet setup has changed or you need to see your most recent balance reflected in the file.

4. Review and confirm your transfers

If your file passes all checks, you’ll see a summary of the transfers.

Review the details, and if everything looks right, click 'Confirm transfers' to proceed. You’ll see a success message once the transfers are complete.

5. Re-upload any failed transfers (if needed)

If some transfers fail, you’ll see a message and receive an email with the details. Just update your Excel file to include only the failed rows.

Note: One common reason for failure is insufficient funds in the source wallet. Top up the wallet and try uploading the file again.
